Change to vacation and PTO accruals

The way accrued vacation time and paid time off (PTO) are recorded is scheduled to change in February.

Currently, vacation time and PTO accrued for the current month are given on the first day of the accrual month for staff paid on a monthly cycle and can be used during that month. Those paid on a biweekly basis currently receive their vacation or PTO accrual for the current month on the first day of the biweekly pay period that includes the first day of the current month.

Beginning in February, all non-instructional and primary staff paid on a monthly schedule will have the time accrued for the current month granted on the last day of that month and available for use on the first day of the following month. In effect, the
time will not be available for use during the month in which the time is accruing, but rather on the first day of the following month.

For employees paid biweekly, vacation or PTO accrued for the current month will be granted and available for use on the first day of the biweekly pay period that includes the last day of the accrual month. For example, the accrual for Feb. 2003 will be granted and available for use on Feb. 16, which is the first day of the biweekly pay period that runs from Feb. 16 to March 1.

This change is designed to result in more accurate reporting and maintenance of accrual balances and to reduce the need for retroactive accrual adjustments. This does not represent any change to the amount of time accrued each year. It changes only the day on which the accrual is recorded and available for use.
